Policies & Procedures

Self-Check-in instructions and directions to the cabin will be emailed to you 48 hours prior to arrival.

 

Check-Out time:                11:00 AM EST   
We are unable to accommodate late Check-outs.
Guests are responsible for cleaning and storing all dishes, utensils and removing all trash to the appropriate outside container. Please generally clean up after yourselves, inside and out. In addition, please follow the check-out procedures in the Welcome Folder inside the cabin.

RATES & PAYMENTS

Rates are based on 2 guests/per night. All persons, including children, are counted toward the maximum occupancy of a cabin. Hocking County Lodging Tax of 6% will be added to all rates. There is also a 6% booking service fee. All rates and taxes are subject to change without notice. 100% of the payment is required and due in full at the time of reservation. We accept Visa, MasterCard. American Express and, Discover. Preferred method of reservation is online. If you require assistance, please call and someone will help you during normal business hours which are Monday-Friday 9:00 am-6:00 pm and Saturday and Sunday 10:00 am – 4:00 pm. Payment is due in full at time of reservation.

RESERVATIONS

  • You must be 21 years of age to rent a cabin

  • Two night minimum stay is required. Weekends can consist of Thursday/Friday, Friday/Saturday or Saturday/Sunday. And both nights will be charged at the weekend rate. We cannot accommodate special requests for a one night stay. Three night minimum is required for most holiday weekends that include a Monday. Holidays are charged at the weekend rate and may require a three day stay. Holidays include Valentine’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Eve and Day, Christmas Eve through New Year's Day.

  • Reservations made using our online reservation system, which includes your charge card number, will be confirmed within 24-hours via the email provided.

  • Management reserves the right to refuse any reservations.

PETS

  • Well mannered and housebroken pets are permitted with a maximum of 2 (two) dogs per stay.

  • The pet fee is a flat $100 per stay.

  • Pets are NOT to be left alone in the cabin unless crated.

  • We ask that you please pick up and dispose of your pet’s droppings on our properties.

CANCELLATIONS & REFUNDS

  • 14 days or more prior to arrival: Full refund less $50 cancellation fee

  • Less than 14 days, but more than 3 days prior to arrival: 50% refund

  • 3 days or less prior to arrival: No refund

  • No refunds for early departure

  • No cancellations or refunds due to inclement weather and other acts of nature.

  • Any changes made to a reservation after processing will incur a $50 processing fee.

  • Change in arrival dates is considered a cancellation and all polices and fees apply.

  • No shows are considered cancellations.

  • We recommend Trip Insurance which is relatively inexpensive and readily available from numerous providers online. Purchasing trip insurance covers you from losses you may incur due to unforeseen circumstances, such as unexpected health issues, death, inclement weather or jury duty.

  • Occasionally appliances, hot tubs, fireplaces, etc., can malfunction. Pine Valley Stays, Ltd. is not responsible for mechanical failures of non-essential or luxury items, including, but not limited to Hot Tubs, Television, DVD players, WiFi, Dishwasher, Washer/Dryer, Fireplaces, Air Conditioning, Jacuzzi or any other appliance that fails to operate properly during your stay. We will service and restore these amenities as quickly as we can but are unable to make any rental concession for time without these items. No refunds for mechanical failures out of our control.

  • No refunds will be issued for disruptions of any utilities including, but not limited to, power outages, water outages, etc. These failures are beyond our control and no refund or rent reduction will be given.

  • Unknown construction or road noise near our properties is beyond our control. If you experience noise during your stay, no refunds or relocation will be made.

  • If a guest is disappointed or unsatisfied with a cabin due to differences in taste according to decor, accommodations, location, etc. and declines to stay at the cabin, this will be considered a cancellation and no rent reduction or refund will be issued.

  • No refunds are given if a guest is required to vacate the premises because of disruptive conduct or failure to follow our rental policies.

OCCUPANCY RULES

  • Please limit occupancy to the posted cabin maximum. All persons, including children, count toward the maximum occupancy of a cabin.

  • Children are welcome. All children must always be under adult supervision.

  • Maximum occupancy of our cabins is listed on the booking website(s) and PAID AND REGISTERED GUESTS ONLY! Absolutely no visitors permitted on the property unless it has been discussed and approved by Pine Valley Stays management. Failure to comply will result in being charged for the unregistered guests and you may be asked to leave the property immediately without refund.

  • SMOKING IS PROHIBITED IN ALL CABINS! You may smoke outside, but please respect our properties and do not litter the area with cigarette butts. Ashtrays or cans are provided for proper disposal. If evidence of smoking is found in a cabin there will be a $250 fee charged to the card on file-no exceptions.

  • Please DO NOT move our furniture. If you move furniture you will be charged.

  • Our cabin properties were created to provide a quiet atmosphere for our guests. We do not allow any parties and loud music. Please respect the property owners adjoining the cabin property by keeping your noise at a reasonable level, especially between the hours of 10:00 pm and 8:00 am

  • We expect that our guests will respect the inside, outside and surrounding property always.

 

LIABILITY

  • Renter agrees to take full responsibility for any accident(s); injury(s); loss or damage(s) that may result in or about the premises, to persons or property and that Pine Valley Stays shall not be held liable, or responsible for such injury(s), accident(s), loss, or damage(s).

  • Under no circumstances will Pine Valley Stays be responsible to you or your guests for any loss, expense, damage, claim, or injury, direct or indirect, consequential, or otherwise, caused or incurred, as result of any action or inaction by Pine Valley Stays, or their managers, employees, subcontractors, third parties, other guests, or any other party.

  • By renting the cabin you agree to indemnify and hold Pine Valley Stays and the cabin owner harmless from any and all claims and loss of any and all guests using the cabin pursuant to this agreement.

  • Renter assumes responsibility of all guests during the reservation time.

  • Renter agrees to assume all responsibility and risk with use of the hot tub, bunk beds, all gaming activities, any accident, injury, or damage in or about the premises (including renters' guests).

  • Pine Valley Stays reserves the right to refuse or discontinue service to any person and/or rescind any contract for accommodations or guest services.

  • Renter assumes all charges incurred and or damages to the premises, structures, or contents, during the stay, caused by the reserving party or its guests. Pine Valley Stays reserves the right to charge the Renter's credit card for any damages or excessive cleaning from your stay. If you notice any problems upon checking in, please inform us immediately to avoid any damages being charged to your account.

  • Unless prior written consent is obtained from Pine Valley Stays or its owner, Renter and its guests are prohibited from publicly disseminating through any means, any video or photographic broadcast or reproductions of the property or Renter's and guest’s activities while on the property. Renter shall indemnify and hold harmless the owner and its agents from any claims, liability, expenses, or damages relating to any such broadcast or reproduction.

  • Neither Pine Valley Stays nor the cabin owner will be responsible for loss of money, jewelry, or valuables of any kind for any reason.

  • We have designed and furnished our cabins with quality materials and amenities. We expect that our guests will respect the inside, outside and surrounding property at all times. We reserve the right to charge your credit card for any damages, excessive cleaning, or theft as a result of your stay. If you notice any problems upon checking in, please let us know immediately to avoid any damages being charged to your account.

SAFETY

  • For your safety, we post Safety Rules in and around the property. Please abide by these rules as we want you to have a safe and happy stay. We are not responsible for injury or damage to you or your property.

  • Hunting: Absolutely NO hunting of any kind is permitted anywhere on the property.

  • Fireworks/Firearms/Guns: Absolutely NO shooting fireworks, weapons, firearms, or guns including paintball guns or air guns on the property.

  • ATV's/motorcycles: Absolutely NO all-terrain vehicles, 4-wheelers, motorcycles, or other recreational vehicles may be used on the property at any time. Only the use of motorcycles as a mode of transportation to the cabin may be used.

  • Campfires: Campfires are permitted ONLY in the fire pit provided with your cabin. Absolutely NO fires permitted outside of these designated areas. Only firewood should be burned in the fire pit. Please ensure the fire is properly extinguished before leaving the campfire area.

  • Firewood: Do not move firewood into Hocking County. It is illegal to move firewood in/out of Ohio quarantined counties. Violators face up to $4000 in fines. Please buy your firewood from local vendors within Hocking County. We can have bundles of firewood delivered to your cabin for a minimal fee.

  • Although the cabin property is secluded, please respect other guests and property owners in the area. Absolutely NO trespassing on adjoining properties.

  • The Renter agrees to vacate the premises in clean condition and in as good of a condition as when entering. Inspection of the premises will be made by management after termination of the rental period.

AMENITIES

We will do everything we can to make sure your cabin is ready for your stay. It is our mission to provide you the cleanest cabin in Hocking Hills so that you will become a guest for a lifetime. However, there are rare occasions that your cabin might not be fully presentable by 4PM or when your hot tub won’t be warm until later in the evening. We hope you can fully utilize the all the amenities to have a memorable stay!

-          High Speed WiFi Internet is available for your use. Please refer to the Welcome folder for WiFi password.

-          Due to the remoteness of our properties cell phone service is not guaranteed and is very spotty. We recommend enabling WiFi Calling feature on your cell phones for phone service.

-          Large Flatscreen TV with lots of internet streaming channels

-          Fully equipped modern kitchen with utensils

We do our best to make sure all amenities are in good working order. Occasionally electronics, satellite, phones, internet and other mechanical equipment will malfunction. We will do our best to repair these items in a timely manner. We will not make any financial rental concession for time without these items.

Our cabins are in a rural area, which is surrounded by woods. As a result, there may be some insects or other visitors in or around the cabins at times. We do professionally exterminate our cabins, but they are not bug proof. Please remember that you are in the woods and have invaded the woodland creatures’ habitat and you will see bugs, spiders, and mice occasionally. No refunds issued for insects or mice found in a cabin.

We ask that you follow all guidelines and policies regarding use of amenities in order to keep them functioning at peak efficiency. Failure to do so may result in damage or excessive cleaning charges.

Pine Valley Stays, Ltd. reserves the right to move you to another comparable cabin if necessary.

 

 

HOT TUB

  • Please abide by hot tub procedures, rules and precautions posted at the cabin.

  • If your stay is 4 days or more, your hot tub will be serviced on the fourth day of your stay. Proper chemical maintenance of hot tub water is necessary to maintain safe water and prevent possible damage to hot tub components.

  • Due to cleaning and servicing, hot tubs are sometimes not up to full temperature at the time of check in and may need additional hours to heat. We ask that you follow all guidelines and policies regarding use of hot tubs in order to keep them functioning at peak efficiency.

  • Your cabin and hot tub are cleaned before you arrive and after you leave. Upon arrival please report any damages, shortage of supplies or housekeeping issues immediately.

  • In the event of hot tub damages or extra cleaning requirements, additional charges will be applied as deemed necessary including a $200 replacement filter cost.

  • Property management may check the Hot Tub daily for health and safety reasons

WINTER TRAVEL

Hocking County is very rural county with curvy and hilly roads which requires cautious driving. During winter inclement weather or any significant snowfall, 4 wheel drive is recommended as is planning to arrive at your cabin before dark. However, guests in 2 wheel drives tend to do just fine. On snow days we will be working extra hard to have cabins ready for your arrival so that we can ensure that you arrive safely. Please be aware that you are responsible for appropriate transportation to and from your cabin.

LOST & FOUND

Pine Valley Stays. is not responsible for guests’ personal belongings that are lost, stolen, damaged or left behind. Please check drawers, shelves, under beds, etc. when leaving to check for your personal belongings. Our staff will be happy to make a reasonable search for items a guest believes they may have left in one of our cabins. If found, the item will be returned at the guests’ expense.

ACCEPTANCE

Your authorization at time of reservation, making an online reservation, payment of money and/or taking possession of the property is evidence of your acceptance of our policies and your intent to use the property as a short-term vacation rental. Violation of any of these policies may result in immediate termination of the rental without a refund. For the mutual benefit of both parties this is a living document and is subject to alteration. Policies and Rates are subject to change without notice.
